Office Administrator - National Law Firm - San Francisco

This position works in collaboration with California and functional area leadership to ensure plans and actions are implemented and achieved consistent with firm strategies and goals. This position focuses on the efficiency and profitability of our San Francisco office and provides leadership and direction for the San Francisco office’s administrative support areas. This position reports to the California Regional Administrator and San Francisco Office Managing Partner.

Responsibilities:

Leadership:

  • Mentor, coach and develop local office management team; implement management process and support development of firm’s culture
  • Ensure high level of job satisfaction and morale among direct reports and personnel in office
  • Initiate and manage local social and community programs per firm values and strategies
  • Responsible for the effective communication of all programs to local office personnel

Teamwork:

  • Work cooperatively and collaboratively with local, regional and firm-wide management to implement firm initiatives and programs
  • Work collaboratively with Finance, Marketing, Information Technology, Human Resources, and Information Services to ensure a high level of consistency in work quality, improve processes, reduce risk, improve financial performance of the office, and to ensure firm’s high-client service standards for internal and external clients alike are achieved
  • Initiate regular meetings among local management team to foster cross functional communication and ensure awareness of projects and initiatives.

Supervision:

  • Develop and supervise local support staff; set annual office goals and objectives for direct reports and monitor performance against goals; assist personnel in pursuing professional development opportunities and developing increased skill sets
  • Oversee local Office Services, Facilities, and Records areas to ensure a high level of consistency in work quality within functional areas

Management:

  • Ensure all local processes are efficient and cost-effective
  • Plan and implement annual office budget for expenses and headcount; proactively monitor accounts for variances and implement strategies to meet or improve budget
  • Participate in assessment of real estate needs, and subsequent design, construction of new space, and relocation, if applicable

Job Requirements:

  • Bachelor’s Degree required, MBA a plus
  • Minimum of 7 years of relevant experience in a large office environment
  • Prior management experience in a professional services firm preferred, law firm experience a plus
  • Proven supervisory and team building skills
  • Planning and organizational skills, including proven ability to manage multiple, diverse projects concurrently
  • Excellent organizational, interpersonal, verbal and written communication skills with a strong attention to detail
  • Demonstrates the ability to communicate ideas or positions in a professional manner, promoting teamwork and a commitment to outstanding customer service
  • Prior experience with office buildouts or significant renovation programs are a plus
